The company

This global leader in the golfing sector, employing over 3,000 people. It owns an array of well-known brands, selling top-tier golf equipment, clothing, and accessories worldwide as well as being the world’s largest golf ball manufacturer.

The Senior IT Manager for EMEA headed up the integration project internally. We asked him about the project and his experience working with the integration team at Transalis.

The challenge

The company wanted to outsource the warehousing and fulfilment of online customer orders in the UK and Europe to two third-party (3PL) logistics companies. This strategic move away from managing their own warehouses and internal fulfilment operations aimed to boost efficiency and reduce costs. The company needed a seamless mechanism to exchange transactional documentation between the 3PL entities and its ERP system to maintain and enhance the customer experience.

The solution

To ensure seamless transactional document exchange with the two 3PLs, the company required the integration of all parties’ digital systems via a custom API, enabling EDI messaging in a virtual environment.

  • Advance Shipping Notices: Essential for the 3PLs to prepare for incoming shipments, check stock on arrival, log any missing or damaged items, and manage inventory effectively. The company could then manage stock levels virtually, avoid overselling items, and ensure customs updates are handled promptly.

  • Customer Orders: The 3PLs needed the capability to instantly receive and capture online orders through the company’s online order management system in real-time, ensuring timely and accurate dispatch to customers across Europe.

Enhancing the customer experience

The company prides itself on the experience it offers its customers. It was imperative that the move to a 3PL fulfilment model maintained and improved existing processes, thereby protecting customer loyalty in a fiercely competitive market. Particular points of focus were:

  • Accurate customer communication: Deliveries to Brussels, for instance, may take just 24 hours, but deliveries to Lanzarote could take up to four days. Therefore, it was crucial that detailed data flows could pass between all parties and in-house systems to provide the customer with accurate information at the point of order.

  • Agility to switch delivery providers: To protect the customer experience, it was imperative the fulfilment process had contingency to switch delivery providers instantly in case of downtime for any reason.

The delivery

The results

The project has allowed the company to be far more efficient with internal warehouse spacing by integrating products and shipments more effectively. “Before, it was a very manual process, prone to errors.”

  • As a direct result of these changes, the company has achieved an accuracy rating of 98%, a huge improvement over the previous manual processing system.

  • The integration has greatly improved the business’s ability to rebalance its stock levels, which was “a nightmare” before.

  • The ultimate result is the benefit to the business’s customers. “We have significantly enhanced our speed-to-market capabilities, enabling us to offer next-day or two-day delivery to customers across the EMEA region—a substantial improvement from the previous standard of 7 to 10 days.”
